Thank you for joining a tour operated by Ecovillage Tours LLC. The travel services provided to you are subject to the following terms and conditions, which bind you and any minor dependents in your legal care. References to Ecovillage Tours include its employees, agents, contractors, and suppliers, and these terms apply to their benefit. By booking or participating in a tour or any other tour product, you (“you” or “Client”) agree to these terms and conditions (“Terms”). If you make a booking on behalf of other participants, you confirm that you have the authority to accept these Terms on their behalf.

Assumption of Risk

Traveling involves inherent risks, and you understand that modes of transport, accommodation, and itineraries may change—even after the tour has begun—due to circumstances beyond Ecovillage Tours’ control or when deemed necessary for safety or logistics. The Tour Operator reserves the right to amend, vary, reroute, or cancel tours and cannot guarantee exact arrival or departure times. You acknowledge that participation in the tour and all activities is voluntary and that you are prepared to assume all associated risks. Changes to the itinerary may incur additional charges at your own cost. Ecovillage Tours will not be held liable for cancellations, delays, or rerouting due to pandemic, natural disaster, political unrest, war, accidents, or other events beyond its control. You accept the risks associated with differing standards of hygiene, accommodation, and transportation, and understand that access to medical care may be limited. By booking a tour, you agree to take full responsibility for your own actions, safety, and welfare.

Third Party Operators

Ecovillage Tours partners with professional third-party suppliers and will act in good faith to ensure quality services. However, Ecovillage Tours acts solely as an agent between participants and these suppliers (including local operators and subcontractors) and cannot accept responsibility for their actions or omissions. All third-party services are subject to the supplier’s terms and conditions. You acknowledge that such suppliers operate under the laws of their respective jurisdictions, and any disputes will be handled accordingly. Tour prices do not include airfare unless expressly stated. When airfare is booked through Ecovillage Tours, the Tour Operator acts only as a sales agent, and airline terms and conditions apply.

Participant Responsibilities

You agree to conduct yourself in a way that maintains the safety and comfort of the group. You will select tours and activities appropriate to your abilities and represent your fitness accurately. Ecovillage Tours reserves the right to remove any participant who behaves in a manner that endangers themselves or others, causes distress, or violates local laws. In such cases, no refund will be provided, and related expenses will be at your own cost. You are responsible for reviewing the itinerary, pre-departure materials, and preparing for the tour with proper documents, clothing, and equipment. Optional activities, meals not listed as included, personal expenses, and independent travel are your responsibility.

Medical Issues

If you have known medical conditions, you must inform Ecovillage Tours in advance. You are responsible for determining whether you are fit for the tour’s physical demands and for consulting a healthcare provider as needed. Special requirements (including dietary requests) must be disclosed at the time of booking. Ecovillage Tours will do its best to accommodate them but cannot guarantee fulfillment. Tours may take place in rural or remote areas where medical facilities are limited. You must bring any necessary medications and understand that Ecovillage Tours does not provide medical advice or services. In the event of illness or injury, you authorize Ecovillage Tours to arrange medical care at your expense. No refund is due for missed portions of a tour due to illness, injury, or circumstances beyond the company’s control.

Travel Insurance

Ecovillage Tours strongly recommends that all participants carry comprehensive travel insurance covering medical emergencies, evacuation, repatriation, trip interruption, and other unforeseen events.

Participants who choose not to purchase travel insurance understand and agree that they assume all risks associated with travel, including but not limited to medical costs, evacuation expenses, trip delays, or cancellations.

By participating in an Ecovillage Tour without such coverage, you release and hold harmless Ecovillage Tours LLC, its guides, agents, and partners from any and all claims, losses, damages, costs, or expenses arising from events that would otherwise have been covered by an insurance policy.

Ecovillage Tours does not provide or administer travel insurance and is not responsible for the adequacy or validity of any coverage purchased by participants.

Information & Documentation

You are responsible for providing accurate and timely personal information (e.g., passport details, health conditions, emergency contacts). Ecovillage Tours is not liable for losses due to errors, omissions, or delays in information you provide. You are also responsible for ensuring you possess valid passports, visas, and any required travel documents. Ecovillage Tours may assist with general guidance but does not guarantee accuracy of visa or entry requirements. Any costs or losses due to incomplete documentation are your responsibility.

Liability

You release and discharge Ecovillage Tours LLC, its affiliates, employees, partners, representatives, and agents from all liability arising from your participation in the tour, including actions or omissions by third-party suppliers or other participants. This release is binding upon you, your heirs, successors, and legal representatives. You agree to fully assume all risks of travel and participation and to hold Ecovillage Tours harmless to the maximum extent permitted by law. Ecovillage Tours may suspend obligations under these Terms if performance is affected by events beyond its control, including natural disasters, pandemics, government restrictions, war, labor disputes, or other force majeure events. In such cases, no refunds or damages will be due unless otherwise stated in writing.

Force Majeure

Ecovillage Tours shall not be liable for injury, illness, delay, loss, or failure to perform its duties if caused by events beyond its reasonable control, including but not limited to natural disasters, war, terrorism, political actions, mechanical failures, strikes, transportation cancellations, pandemics, or government restrictions. In such cases, Ecovillage Tours reserves the right to modify, postpone, or cancel tours without liability and will offer credits or rescheduling options at its discretion.

COVID-19 and Other Diseases

You acknowledge that outbreaks such as COVID-19, pandemics, or epidemics may disrupt travel. You agree to comply with all health and safety regulations (e.g., testing, vaccination, masking, or quarantine) that may be imposed during travel. If travel plans are interrupted, delayed, or cancelled due to government action or supplier limitations, Ecovillage Tours’ standard cancellation and credit policies will apply. You agree to obtain travel insurance that includes epidemic or pandemic coverage where available and release Ecovillage Tours from all related liability.

Publicity and Media Consent

By participating in an Ecovillage Tour, you grant Ecovillage Tours LLC and its representatives the irrevocable and perpetual right to photograph, film, record, and otherwise capture your image, likeness, voice, and statements during the tour. You authorize Ecovillage Tours to use such materials, in whole or in part, for any lawful promotional, educational, or commercial purpose—including but not limited to advertising, social media, websites, printed materials, and other marketing channels—without compensation or further approval.

You understand that these materials may be edited, adapted, or combined with other content, and you waive any rights of inspection, approval, or royalties related to their use. This release applies worldwide and extends to all media now known or later developed.

Amendments

Ecovillage Tours reserves the right to amend these Terms and Conditions at any time.

Acknowledgment

By signing below (or by completing a digital acceptance form), you confirm that you have:

• Read, understood, and agree to these Release and Waiver Agreement & Tour Conditions.

• Reviewed the Tour Conditions below and at www.ecovillagetours.com/tour-conditions.

• Acknowledged the risks and responsibilities of participating in an Ecovillage Tour.

• Obtained or will obtain adequate travel and medical insurance coverage.

Insurance Coverage Decline Acknowledgment (if applicable)

I acknowledge that Ecovillage Tours LLC has advised me to obtain comprehensive travel insurance covering medical emergencies, evacuation, repatriation, trip interruption, and other risks.
I have chosen not to purchase such coverage and fully understand that I am solely responsible for any expenses or losses that may result. I hereby release and hold harmless Ecovillage Tours LLC, its officers, guides, contractors, and partners from any claims, liabilities, or costs arising from events that would have been covered by travel insurance.
