Tour Conditions

This document outlines what Ecovillage Tours (“ET”) provides when you sign up for an ET tour, and what you agree to do while on tour with ET (“Tour Conditions”). By signing up for a tour with ET, you are agreeing to these Tour Conditions. Please read carefully before completing your reservation request.

Tour Price Guarantee

Our tour prices do not include airfare and are subject to change without notice due to the unpredictability of currency rates and trip costs. The tour rate you book at is guaranteed once your deposit is received. If you later cancel and rebook a different tour or departure date, the new booking will be subject to the price and terms in effect at that time. Included in the Price of Each Tour

All activities hosted by an ET guide and local guides when appropriate, including admissions to activities as a group; all group meals including breakfast, lunch, and dinner for each day of the tour; accommodations each night, often in rustic and rural settings; and all transportation from pre-arranged pick-up and drop-off points (does not include optional activities or independent travel during the tour).

Itineraries Are Subject to Change

Life is full of surprises, and we need to be flexible enough to take advantage of whatever comes along so that we may provide you with the best possible tour. Uncompleted portions of the tour itinerary are not cause for refund.

Tour Payments

To reserve a seat on an ET tour you must agree to these Tour Conditions and provide us with a $500 USD deposit per person. We accept major credit cards for all tour payments (2–3% processing fee). We also accept ACH bank transfers and personal checks with no processing fees.

Your final tour payment is due at least 30 days prior to the start of the tour. Your final payment due date will be listed on your tour invoice. Final payments not received within 7 days of the due date may result in cancellation of your reservation without refund.

If you sign up for a tour less than 30 days before departure, the entire tour price must be paid in full at the time of booking and is non-refundable after 7 days. Refunds to credit cards will be net of any processing fees originally incurred and may take up to 14 business days to appear on your statement.

Solo Travelers and Single Supplements

If you are traveling solo, you need not pay the mandatory single supplement often required by other tour companies. You will most likely room with one or more tour members of the same sex. If you wish to increase your chances of having a private room, we offer a limited number of optional single supplements for an additional fee (see your tour page at ecovillagetours.com).

Please note that a single supplement does not guarantee a private, larger, or nicer room. We will do our best to provide a private room when possible; however, the nature of some accommodations may not allow for a private room every night.

Cancellations, Refunds, and Credits

(Effective for all new bookings starting October 18, 2025)

Deposit
A non-refundable $500 deposit is required at the time of booking. If you cancel more than 90 days before departure, you may contact us to transfer your deposit to another available Ecovillage Tour within 12 months.

Cancellations

  • 90+ days before departure: Refund of all payments minus the $500 deposit.

  • 31–89 days before departure: 50% refund minus the $500 deposit, or 50% credit toward a future tour (valid for 12 months from the original departure date).

  • 0–30 days before departure: No refund. Credit may be offered at the company’s discretion in the case of emergencies.

If we cancel a tour you have reserved, the entire amount you have paid to ET for the applicable tour will be refunded within 14 days after the tour’s cancellation. Once this occurs, ET and its representatives have no other obligations to tour members on cancelled trips, including any additional costs or fees related to airline tickets or other travel reservations not made by ET.

Group Size and Minimums

Most tours require a minimum of four (4) participants to operate. If this minimum is not met, Ecovillage Tours reserves the right to cancel the tour up to 30 days prior to departure and will offer a full refund or credit.

Force Majeure

Ecovillage Tours shall not be held responsible for any failure to perform its obligations due to events beyond its reasonable control, including but not limited to natural disasters, strikes, war, acts of terrorism, pandemics, government restrictions, or transportation interruptions. In such cases, ET reserves the right to modify, postpone, or cancel tours without liability and will offer credits or rescheduling options at its discretion.

Tour Forms, Obligations, and Risks

To travel on a tour, and to qualify for any applicable cancellation credit, all tour members are required to review and accept a Release and Waiver Agreement prior to the beginning of a tour. Omitting important information or altering the Release and Waiver Agreement will render it invalid and could result in expulsion from a tour at your own expense.

Responsibility for Travel Documents

It is each participant’s responsibility to ensure they possess valid passports, visas, and other required documentation for travel. Ecovillage Tours is not responsible for losses due to incomplete or incorrect travel documentation.

Children on Tours

Ecovillage Tours welcomes families on most tours and offers discounted rates for children:

  • Ages 3 and under: Free

  • Ages 4–7: 50% off

  • Ages 8–15: 20% off

For participants aged 15 and under, please contact us before booking to confirm suitability for your specific tour. We will provide a discount code for eligible child pricing. Families traveling with children under the age of 8 are required to purchase a private room supplement.

Families should note that our tours generally include long periods of sitting for presentations, strenuous walking, uneven terrain, long car rides, and stays in multiple locations. Laundry services are limited. We encourage families to join as long as they are prepared for these conditions.

Parents or legal guardians assume full responsibility for the safety and wellbeing of their children throughout the tour. Children must be supervised at all times. Children under 1.5 meters (approximately 5 feet) in height must use a booster seat, and car seats are required for younger children. Please bring your own seat or request to rent one at cost before the tour.

Service Dogs

We make every effort to enable service dogs to join our tours. Typically, there is a $100 surcharge for bringing a service dog on a tour to cover additional cleaning fees and logistical needs. Kindly contact us in advance if you are interested in bringing a service dog with you on a tour.

Participation

Although we want everyone to have a good time, it sometimes happens that someone participating in a tour can misbehave or do things that are incompatible with the safety, comfort, or convenience of other members of the tour. In those circumstances, we have the exclusive right and discretion to expel someone (even you) from a tour at any time.

Tour Member Expectations

ET tours are physically active, our accommodations are rustic and may provide fewer luxury amenities, and our people policy emphasizes NO GRUMPS! These are essential characteristics of the Ecovillage Tours experience. On any Ecovillage Tour, you assume certain obligations and responsibilities to ET and your fellow tour members, including, but not limited to:

  • Be comfortable on your feet during walking tours, climbing stairs, and standing/walking for up to four hours indoors and outdoors in all weather conditions.

  • Sleep in accommodations with no air conditioning and limited Wi-Fi connections.

  • Visit or be near working farms, including pets and livestock.

  • Prepare some of your own meals as a group activity.

  • Pack light: Each tour member is encouraged to bring just one airline carry-on-size piece of luggage (approximately 21" × 14" × 9") plus a small day pack or shoulder bag.

Photo and Media Consent

By participating in an Ecovillage Tour, you grant Ecovillage Tours LLC and its representatives the irrevocable and perpetual right to photograph, film, record, and otherwise capture your image, likeness, voice, and statements during the tour. You authorize Ecovillage Tours to use such materials, in whole or in part, for any lawful promotional, educational, or commercial purpose—including but not limited to advertising, social media, websites, printed materials, and other marketing channels—without compensation or further approval.

You understand that these materials may be edited, adapted, or combined with other content, and you waive any rights of inspection, approval, or royalties related to their use. This release applies worldwide and extends to all media now known or later developed.

Tipping Policy

Tipping is a personal expression of appreciation for exceptional service and is not included in the tour price. It remains entirely at your discretion, reflecting your satisfaction with our guide’s effort to make your Ecovillage Tour experience memorable. We suggest $20–$50 per person for the entire trip, depending on your level of satisfaction.

Ecovillage Tours LLC maintains Travel Agents and Tour Operators Professional Liability Insurance through Aon.

Policy Period: May 27, 2025 – May 27, 2026

This policy provides professional liability coverage for Ecovillage Tours LLC as a tour operator. It does not provide travel, medical, or cancellation insurance for tour participants. We strongly recommend that all travelers purchase their own comprehensive travel insurance policy to cover trip cancellation, interruption, medical emergencies, and other personal travel risks.

Ecovillage Tours LLC is registered with the State of Vermont as a provider and seller of travel.
